This website

This website does not use advertising trackers and does not have visitor accounts. Our hosting provider keeps standard server logs, such as IP address, browser type and the pages requested, to operate and secure the site.

The demo request form does not send information to our servers. It opens your own email app with your message filled in, addressed to sales@vanceai.io. We receive only what you choose to send, and we use it to reply to you and arrange a demo. We don’t sell it.

The receptionist software

Plumbing companies that use Vance AI decide what information their receptionist collects. On their behalf, the software processes:

• Caller information: name, phone number, service address and the details of the request.
• Call recordings, transcripts and summaries.
• Appointments, callbacks and customer records.
• The business’s own account details, settings and the business information it enters.

This information belongs to the plumbing company and is used to provide the service to it. Each company’s records are kept in its own account and are available only to people signed in to that account. If you called a plumbing company that uses Vance AI and have a question about your information, contact that company, or email us and we’ll help direct your request.

Service providers

We use trusted providers to run the service, such as hosting, database, telephone and voice AI, and email delivery providers. They process information only to provide their services to us. An optional calendar connection, if a business turns it on, stores an encrypted access token.

Call recording

Calls handled by the receptionist are recorded and transcribed so the business can review them. Laws about recording calls differ by location. Each business using Vance AI is responsible for the call-recording notices required where it operates, and its greeting can be configured to include one.

How long we keep information

Website emails are kept as long as needed to respond and follow up. Information in the software is kept while the business uses the service, or as agreed with that business.

Your choices

You can ask us what information we hold about you, or ask us to correct or delete it, by emailing sales@vanceai.io. Where we process information on behalf of a plumbing company, we’ll work with that company on your request.

If this policy changes, we’ll update this page and the date at the top.
