From the first ring to your dashboard.
What happens on every call, and how your system gets set up, tested and handed over.
What happens when the phone rings.
Six steps, the same way every time, day or night.
- 1
A customer calls your number
They dial the business number they already know. Your carrier forwards the call to the receptionist when you’ve chosen to.
- 2
Answered in your company’s name
The receptionist greets them with your company name and greeting.
- 3
It answers their question
Using the services, service area, hours, pricing answers and FAQs you approved. If it isn’t covered, it says so and takes a message.
- 4
It collects the job details
Name, phone number, service address, the problem and how urgent it is, asking only for what’s missing.
- 5
It books, transfers or saves a callback
It can book into your schedule, offer an urgent caller a transfer to you, or save a callback with everything you need.
- 6
Everything lands in your dashboard
A summary, transcript and recording, linked to the customer’s record, plus any booking or callback.
A real-world call.
A useful next step.
Choose a situation your shop knows well. Follow the conversation from the first question to the owner’s screen.
“My kitchen faucet won’t stop dripping. Do you handle that?”
“Yes, we handle faucet repairs. Can I get your name and the address where you need service?”
A request ready for follow-up.
Contact details and the repair request are saved for the owner. An appointment is only confirmed after a successful booking.
Examples use fictional customers to show how calls are handled.
How your system is built,
tested and handed over.
Nothing is built until the package is agreed. Nothing goes live until it’s tested.
- 1
Demo and discovery
We walk through the receptionist with the kinds of calls your shop gets, and you tell us how calls, services and scheduling work today.
- 2
Package and quote
We agree in writing what’s included: customization, branding, setup, training, support period, timeline, the one-time price and expected running costs.
- 3
Your business information
Your real company facts go in: time zone, confirmed hours, appointment length, service area, services, pricing answers, emergency policy, transfer number and callback expectations. Anything you haven’t decided stays unanswered rather than guessed.
- 4
Customization and branding
Your name, greeting and look, plus any changes to fit your workflow, from small adjustments to new features, as agreed in your package.
- 5
Call forwarding
We set up forwarding with your phone carrier so your existing number reaches the receptionist when you want it to. You keep your number, and we write down exactly how to turn forwarding off.
- 6
Testing with real situations
Before going live we run test calls: questions it knows and doesn’t, a booking that changes partway, a transfer, an unanswered transfer and a saved callback, then check that each one shows up correctly in your dashboard.
- 7
Handover and training
You learn the dashboard: calls, jobs, customers, callbacks and how to update your business information yourself.
- 8
Support period
Your package includes a defined support period after handover. Anything after that is agreed separately, in writing.
A short list.
Most of setup is on us. These are the things only your shop can provide.
- Your services, service area and confirmed business hours
- How long a typical appointment takes
- The pricing answers you’re comfortable giving on the phone
- Your emergency policy and the number urgent calls should go to
- Questions customers ask you often, and your answers
- Access to your phone carrier account to set up forwarding
- Your logo and colors, if branding is part of your package
See it with calls your shop really gets.
We’ll walk through the receptionist and dashboard, then give you a clear picture of scope and costs.
